Job description
The Front Desk / Intake Coordinator serves as the first point of contact for patients and visitors, ensuring a welcoming, efficient, and organized front office environment. This position is responsible for managing patient intake, verifying insurance, maintaining accurate records, and supporting smooth day-to-day operations at the front desk.
Key Responsibilities:
Front Desk Operations
Greet all patients and visitors in a professional, courteous manner
Answer and direct incoming phone calls; take accurate messages as needed
Schedule, confirm, and reschedule patient appointments
Collect payments, issue receipts, and balance daily transactions
Maintain cleanliness and organization of the reception and waiting area
Patient Intake & Documentation
Collect and verify patient demographic and insurance information
Assist patients with completing intake forms and consent documentation
Enter accurate patient data into Electronic Medical Records (EMR) systems
Verify insurance eligibility and obtain necessary authorizations or referrals
Ensure all required documents are completed before appointment time
Maintain patient confidentiality in compliance with HIPAA regulations
Administrative Support
Communicate with clinical staff regarding patient check-in/out status
Scan and file medical records and other documents as needed
Manage incoming and outgoing mail, faxes, and emails
Assist with special projects or other administrative tasks as assigned

Job requirements
High school diploma or equivalent (required)
1–2 years of front desk, receptionist, or intake experience (preferably in healthcare)
Knowledge of EMR systems (e.g., Epic, Athena, Kareo, etc.)
Understanding of basic insurance verification and billing processes
Strong customer service and communication skills
Ability to multitask, prioritize, and stay organized in a busy environment
Professional, dependable, and detail-oriented
