Job description

The Front Desk / Intake Coordinator serves as the first point of contact for patients and visitors, ensuring a welcoming, efficient, and organized front office environment. This position is responsible for managing patient intake, verifying insurance, maintaining accurate records, and supporting smooth day-to-day operations at the front desk.

Key Responsibilities:

Front Desk Operations

  • Greet all patients and visitors in a professional, courteous manner

  • Answer and direct incoming phone calls; take accurate messages as needed

  • Schedule, confirm, and reschedule patient appointments

  • Collect payments, issue receipts, and balance daily transactions

  • Maintain cleanliness and organization of the reception and waiting area

Patient Intake & Documentation

  • Collect and verify patient demographic and insurance information

  • Assist patients with completing intake forms and consent documentation

  • Enter accurate patient data into Electronic Medical Records (EMR) systems

  • Verify insurance eligibility and obtain necessary authorizations or referrals

  • Ensure all required documents are completed before appointment time

  • Maintain patient confidentiality in compliance with HIPAA regulations

Administrative Support

  • Communicate with clinical staff regarding patient check-in/out status

  • Scan and file medical records and other documents as needed

  • Manage incoming and outgoing mail, faxes, and emails

  • Assist with special projects or other administrative tasks as assigned

Job requirements

  • High school diploma or equivalent (required)

  • 1–2 years of front desk, receptionist, or intake experience (preferably in healthcare)

  • Knowledge of EMR systems (e.g., Epic, Athena, Kareo, etc.)

  • Understanding of basic insurance verification and billing processes

  • Strong customer service and communication skills

  • Ability to multitask, prioritize, and stay organized in a busy environment

  • Professional, dependable, and detail-oriented
